This is a quick guide to enhancing Zoom security and general usage tips with no screenshots. Please see attached PDF on the right (under Attachments) for the version with screenshots.

  1. Your Zoom Personal Meeting Room is risky

Reduce or eliminate the use of your Personal Meeting Room for now since it is not a random number. That’s the meeting number that never changes.

  

  1. “Schedule” new meetings with unique random meeting numbers, especially when holding a meeting with prospects or donors.

  

  1. Strong feature: Waiting Rooms

To further decrease the likelihood of a zoom crasher, consider using the waiting room feature. The waiting room simply means that you will need to “admit” everyone who is trying to join your meeting.

 

To enable the waiting room for one of your meetings.

scroll down to the bottom of the Schedule Meeting window.

click on Advanced Options.

Select Enable Waiting Room.

 

Once you’ve started the meeting as the Host, you would see a popup window with the name of the hopeful attendee in the waiting room. You can Admit them by clicking Admit or see waiting room to see all requests at once and approve/disapprove accordingly. I suggest you try this in an ATS Team meeting you host before trying it with prospects/donors.

  

  1. Prevent Anyone Else from Sharing Their Screen

Another useful security tip is to prevent anyone but the Host from sharing their screen. When you have started your Meeting:

 

click the Share Screen button.

select Advanced Sharing Options.

Choose Only Host and close the window.

 

  1. Turn Off A Participant’s Video Feed

An invited Guest isn’t sharing their screen but their video feed into the Gallery is very inappropriate. How do you turn off their video feed?

 

Move your mouse over the small blue box in the upper right corner of their video feed, click and choose Stop Video.

 

  1. Someone still crashed your meeting. How to expel them:

Click on Manage Participants in the Zoom toolbar.

That opens the Participants window which shows the name of the person sharing their screen.

Move your mouse over the naughty participant’s name and over to the right and click on More and Remove.

 

  1. How to Mute All Participants

Click on Manage Participants in the Zoom toolbar

Click on Mute All which mutes everyone except the Host (smart feature). We find it best to let participants unmute themselves as opposed to the Host unmuting all.
